Privacy Policy

This Privacy Policy explains what data ServerStats collects, why we collect it, and what rights you have over your data. It applies to both the ServerStats Discord bot and our website at serverstats.bot. If you have any questions, you can reach us via email at [email protected] or through our Discord support server.

1. Consent

By adding the ServerStats bot to your Discord server, using any of its commands, or visiting our website, you acknowledge that you have read and agree to this Privacy Policy.

If you do not agree with this policy, please remove the bot from your server and discontinue use of our services.

2. What Data We Store

We only store the minimum data necessary to provide the bot's functionality. We do not collect names, email addresses, message content, or any other personal information unless explicitly described below.

Database (persistent storage)

  • Discord Guild ID — to identify and store the configuration for your server.
  • Discord Channel IDs — to know which channels the bot should use for counter displays and other features.
  • Custom text / user input — only when a user with the required permissions (by default: Manage Server) explicitly configures settings, custom labels, or messages through a bot command.
  • Discord User IDs — stored only for users who have an active premium subscription or have voted for the bot, solely for the purpose of tracking those entitlements.
  • Premium status — whether a premium subscription is active and which tier the user is subscribed to.
  • Last vote date — the date a user last voted for the bot, used to track vote-based entitlements.

Cache (temporary storage)

We temporarily cache data such as member counts, channel statistics, and other server metrics. This data is used purely to calculate and display the statistics shown by the bot. Cached data is not persisted to the database and is discarded automatically.

Logs & Bot Statistics

We collect two additional categories of data to keep our services running well:

  • Error logs — When an error occurs in the bot, we may log the command that was run, any arguments provided, and relevant Discord IDs (such as user or server ID). This is used to diagnose and fix bugs, improve performance, and detect misuse or abuse.
  • Bot statistics & usage data — We collect anonymous usage statistics such as feature usage frequency and performance metrics. This data contains no personal information and consists mostly of aggregate numbers. It is used to improve the bot, enhance features, and identify unusual activity.

Access to error logs, bot statistics, and usage data is restricted to authorized personnel only (currently the ServerStats developers).

3. How We Use Your Data

The data we store is used exclusively to:

  • Deliver and maintain the bot's counter and statistics features in your server.
  • Remember your server's configuration between bot restarts.
  • Verify premium or vote entitlements for eligible users.

We do not sell, share, or use your data for advertising, analytics, or any purpose beyond operating the bot.

4. Website

Our website at serverstats.bot is an informational site. It does not use cookies, tracking pixels, or any analytics tools (such as Google Analytics). No personal data is collected when you browse the website.

5. Accessing Your Data

You can request a copy of all data stored for your Discord server at any time directly through the bot.

Run this slash command in your server. The bot will send you a complete overview of all data stored in our database that is associated with your server.

6. Deleting Your Data

You can remove all data associated with your Discord server at any time. There are two ways to do this:

/reset

Run this slash command in your server to immediately delete all stored data and reset the bot's configuration for your server.

Kick or ban the bot

Removing the bot from your server (by kicking or banning it) will also automatically delete all data associated with your server from our database.

Note on active premium subscriptions

Deleting your data does not cancel any active subscription you hold through a third party such as Patreon or Discord. Your subscription will continue to be billed normally, but your premium perks within the bot may stop working. To cancel a subscription, please do so directly through the relevant platform.

7. Your GDPR Rights

If you are located in the European Economic Area (EEA), you have the following rights regarding your personal data:

  • Right of access — You can request a copy of the data we hold about you (use /data or email us).
  • Right to erasure — You can request that we delete your data (use /reset, remove the bot, or email us).
  • Right to rectification — Most configuration data can be updated directly through the bot. If something cannot be changed through the bot, contact us and we assist you.
  • Right to restriction — You can request that we limit the processing of your data under certain conditions.
  • Right to data portability — You can request a machine-readable copy of your data.
  • Right to object — You can object to our processing of your data.

8. Data Retention

Data stored in our database is retained for as long as the bot remains in your server and the associated configuration is active. When data is deleted (via /reset or bot removal), it is permanently removed. User IDs linked to premium or vote status are retained for a period after the entitlement expires, so that users who reactivate do not lose their configuration or history.

Retention periods for other data types:

  • Error logs — normally up to 30 days. May be kept longer when needed for an ongoing investigation or bug fix.
  • Database backups — up to 30 days.
  • Bot statistics & usage data — up to 31 days.

The database, database backups, bot statistics, and usage data are only accessible by authorized personnel (currently the ServerStats developers).

9. Children's Privacy

ServerStats does not knowingly collect data from children under the age of 13. Since our bot operates on Discord, users are expected to meet Discord's own minimum age requirement. If you believe a child has provided data through our service, please contact us immediately.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will always reflect the most recent revision. Continued use of our services after any changes constitutes acceptance of the updated policy.
